Management Layer
The data management
layer consists of those elements that relate to the entry, storage and
maintenance of the archival information. The entry interface streamlines
the process of data entry and is designed to meet the needs of the onsite
Project researchers while protecting the quality of the data. (See:
Data Entry Interface) In December, 1998, the backend structure was
separated from the front-end elements to provide total independence
in refining the front-end and performing management tasks without affecting
the back-end structure or ongoing entry.
- Data
input controls: custom-designed screens maintain quality control
during data entry. Within the database, vocabulary is rigorously
controlled by way of standard database integrity checks, including
predefined lists, context-driven help screens and programmed data
entry procedures. All data is entered into the database directly
from the documents via the keyboard or drop-down lists. This data
includes transcribed document citations, document dating, names
and locations of senders and recipients, document extracts, English
synopses, People, Places and Topics indexing.
- Data
retrieval tools: data retrieval mechanisms (search, filter,
sort, and query) assist in the process of indexing and data entry.
For example, when working on data entry for a given document, the
researcher can quickly collect and view all indexed documents pertaining
to a given sender/recipient, place, topic or combination of fields,
in order to facilitate identification and categorization. Since
a database is only as useful as its data is reliable, data entry
and management procedures have been a top priority.
